Tech Facilitator Meeting October 2013

Kevin Sherrill: Topics for today
  • Apple/ Ipad update
  • Office 365:  Working on client on office machines
  • Pushing out x131 laptops more of them?
New laptops:
  • 2100 x-131 laptops were  put out to teachers last year to those who did not receive WFU laptop in prior two years--2300 still had WFU laptop (t-400, t-410)
  • Kevin has been talking with Dr. Emory about this disparity
    • Decided to cancel the WFU partnership
    • The WFU program made sense in the past when laptops were more expensive (WFU is moving to a four year program anyway) so would not work for us since we would then get laptops that were used more and older
    • Money was already budgeted to buy WFU laptops, so now are working to reallocate money to add another 2300 of x-131 laptops
    • Plan, is to go to board for approval, and then late in November should have new laptops to roll out to teachers.
    • Will go to anyone who is a certified  teacher 
    • DOT does want (T400’s  back!) 
    • For third grade testing and other needs
    • Laptops will have a full warrantee
    • Moving to a four year lease.
    • Ones we have now, will go to a five year lease
    • So every teacher should then have a machine with office 2010.
Office 365/Email
  • Issues with office machines—not up to date to have office client FireFox patch coming, sometime send button does not show but another work around is to change the reading pain and put at bottom

Secure browsing for October testing

  • Will send out instructions to install secure browser for online testing

Wireless:

  • Still adding access points to schools 
  • Goal get to one access point per classroom
  • Sam Dempsey, was able to get one access point per EC classroom (grant)
    • Already ordered and will be put in soon (any room occupied by EC teachers, ~300 rooms)
    • Carla—will need a room number of where they are located.
    • Also with this same grant--they have bought 167 ipads for teachers
    • Will replace access points in rooms that already have an access point
    • Was explained to principals.  
  • If public wireless network is not working well, then possible access points not configured right, and you need to put in a KACE ticket for that
  • If grabbing public then perhaps light speed agent not installed correctly?

Lightspeed User Agent

  • Partial error happened with the initial install—
  • If you go to utilities
    • Run light speed fixer upper
    • Can also go to add remove and uninstall it and then reinstall it from AICP
    • For it to work User agent service needs to be running
      • The Service is not getting created if you see those prompt login screens when users access the Internet
    • Fixer upper deletes the uaservice.exe file
    • If the service is running/in use, you will get message that it’s already running
    • Uaservice .exe file is the one to delete
    • Still seeing machines, that fixer upper is not working? Then put in a ticket with machine name
    • Should work with service pack 2 but have not tested
    • Fixer upper will work from your machine as long as the intended machine is turned on

Apple IPADS:

  • Lots of them are hitting schools now
  • Trying to standardize the apps, etc.
  • Jennifer Ellington is here to talk about it and Kevin has talked to principals 
  • App store is blocked right now but will be unblocked soon for teachers
  • They have reviewed many free apps and placed them in a WSFCS app catalog.
  • Apple products are on the price list
  • Ipads must be shipped to central office 4801 for setup before going to school
  • Airwatch is company that deploys the device managment to the ipads and mini’s
    • There is some tracking ability with these devices through airwatch
    • Puts profiles on the ipads
  • Everyone ipad requires passcode
  • Emh and school number
  • Teachers can change passcode (don't necessarily encourage)  (5 times wrong and it will reset--BAD)
  • Otherwise have to hook to a computer and do a complete reset
  • Wsfcs APP catalog is a weblink that gives you a catalog of free approved apps that you can install
  • School apple id is your generic media account user name @wsfcs.k12.nc.us
  • Contact Jennifer as you need the password
  • Please do not reset the pw for the media account through mmc
  • Volume purchase program—will be able to buy apps at a discounted rate
  • Program facilitator at each school will purchase the apps—license will belong to the school district however (if teachers buy apps with their apple ID they don't travel with the device if the teacher leaves)

IOS7 operating system for apple products:

  • Apple upgrade servers are blocked right now at school (kids have been trying)

  • They want to do the upgrade in a controlled environment to test
  • Authentication through light speed web browser is the main issue right now (need to hit refresh or type in a new web address to get the authentication log-in window)
    • has to uccur in the browser every 8 hours

Window is closed for fall surplus, if not revisit in the spring.

Steven Anderson:Power School:

  • Getting lots of emails about access for admins
  • The push right now is for teachers to take attendance and do grades—that’s all data is going to focus on..all else is in the back burner.
    • TA’s and PRT’s will not have power school
  • Teacher of record will get a gradebook
  • When things settle down,  (in a couple of years) then these other things will happen
  • Gradebook Guru’s should support as best he or she can
  • Teachers who have not setup gradebook correctly, will become apparent next quarter
  • Can not do points and percentages in same gradebook
  • Parent portal—Every webpage should have a link to the parent portal page

  • Right now, attendance is not shown on progress report,  will be after the next upgrade (parents can see on power parent tho)

    • Will work just like computer version 
Power parent app works even better
  • They will use Parent user name and pw
  • There is No admin one at this time

KACE Tickets:

  • Unblock website tickets get sent to Steven
  • He judges instructional value and gets with program manager and then Cory "white lists" it,  if approved
  • Some sites will have for example, Search engines that let students get to other inappropriate things
  • What he needs is an explanation of how they are using it and why
  • For unblock tickets and others  put brief description in main box and then in bottom comments box put details (this is the opposite of what Kevin told us in the past)
  • There are growing pains with this new webfilter
  • Steven handles blocked tickets as soon as he can--makes it a priority
  • Question ? Pinterest partially blocked at times (pictures come from other hosted third party sites is sometimes the problem)
  • You can sometimes Copy and paste the links that get blocked there
  • Youtube should be unblocked for all staff

District PTA

  • has a compliance office and a big push for webmaster training (done four trainings so far)
  • next training dates is Oct 14 downstairs in Education Building

TRAC is supposed to working?

  • Could be Profile related?—delete profiles if printer not showing up
  • The one requirement for the client to run/For Trac to work, must have .net 3.5 net framework installed and can that can be installed from AICP (under Microsoft net framework 3.5)
  • 90 percent of calls about trac are the typo in the printer name
  • Run connection refresh or start run and womac /ip

To browse to a print server:

  • Can right click on the printer and click on connect
  • Error message would indicate an error with the server
  • On windows 2008 servers there are three different ip methods you can use and causes some conflicts at times
    • That’s why they are migrating the print servers back to the local schools
  • In the meantime if printer is still not showing up, the only way around it is to install through IP or put in a ticket to delete the printer off the print server
  • You can go to Add remove programs to see if net 3.5 is on a machine
  • Don’t need to do the "install womac" anymore
  • When printers move to the new server, the path name will change
  • They will notify us when our print servers  are changed over to the local server.
  • A script will run to change the printer assignment path

Endpoint client  not running?

  • Could be SP2 and could be something blocking it?
  • Let them know machines where it is not running if that happens
  • Under utilities manual removal of trend micro (if CPM still on there)
  • Bez agent will still on there, but doesn’t matter
  • Endpoint: 
    • orange just wants a scan, but does still do real time scans with usb etc, but not manual scans on entire machine
    • 2:00 am scans are the default scheduled machine scan time which does not "catch up"--it's okay tho
    • Red means not updated in a couple of days

Can add more than one printer at one time?

  • Trac minor update coming
    • Can select multiple machines:
    • Chris will put that update out later today
    • Either use cntl button and select multiple or scroll
    • Will say version 1.4 when it’s updated
    • Another 1.5 update is coming -- working on that
    • Trac will automatically be updated--nothing for you to do

Tech Facilitator Meeting September 2013

Introductions--all around
  •  May do an official tech facilitator webpage and picture next month

Email:

  • Office 365 is hosted email, wave 15... latest update to 2013 platform
  • Spell check went away with this webmail version (available in more advanced browsers)

  • Browser Issues:  

    • IE7 when you launch, will default to low vision version, more directory type view
    • With IE 8 and 9, there is no spell check
    • Newest images have IE 8 (for XP) and IE 9 for Windows 7
    • Spell check feature is part of the newer browsers like IE 10, Chrome and Firefox
Options at this point:
1)   get over it
2)    Try using a different browser such as chrome and Firefox (some problems with running MS product on a google platform)
3)   IE 10 can be installed (but not on windows XP machines)

  • Kicking around the idea of using the Microsoft Outlook client version for front office staff
    • Locally installed email client –set up is easy, and is auto discovery.  Just next next, next to install
    • Training issues with that? no more than the web app...?
    • Kevin doesn’t see it as a big issue
    • One issue is that it Only works in Office 2007 and Office 2010
    • Spell Check is built right in
    • They are testing it at central office, and may pick a couple of schools to test it in the next couple of weeks.
    • Steven will test training modules for outlook

  • Two login issue, sometimes can use just login name on second login
  • Client version would not have to put in whole email twice
  • Set home page to inbox?  Might save the second login


Joan Proffitt: 

  • The document for email troubleshooting still has some value
  • Teachers locked out can be the problem
      • So check that first (In MMC)
      • Email never tells them they are locked out
      • Can wait 15 minutes and automatically resets

Justin Ritchey:  
  • Reason for two logins is because we are not hosting email on wsfcs servers anymore 
  • Teachers need to use email  on their own machine (own login) sharing machines with one login will be problems for email
  • Printing issues with webapp?  They will look into
  • Opening attachments is an issue too?  will get back with us
  • Issues with phone, see Christine Casstevens (issues with groups)

Kevin
  • They have a contract on email and it is free
  • PC life cycle refresh is in the plans (some of these issues are related to older computers and older browsers) —They have to –had conversations with Dr Emory
  • Chrome/ Firefox may be the better option to use since it will let you create groups
  • More information will be forthcoming as we hear more

Web Filter/Wireless networks:

  • Two wireless networks:  Public and Managed
  • No MLC networks
  • Public is only for "off domain devices"
  • There is no value in connecting to it with network devices
  • Off domain, would be anything other than windows 7 or windows xp, such as tablets, phones, etc.
  • If you see the Yellow flag on wireless means there is no Internet access
  • Front end of new web filter comes with a log in screen
  • It provides filtering to your group (such as the teacher group or student group)
  • If you change to local users can use guest with password wsfcs
  • If you are getting on a network device, then the "agent" needs to be pushed out to that machine so it can be recognized as a known device
  • IN AICP, you can manually install the agent on a machine--called Lightspeed user agent 
  • Teachers should bring their laptops in and login to get the updated agent
  • Several things that were unblocked maybe blocked again, and you might have to put in KACE tickets to have them reviewed
  • ISSUE --If AP's and Principals are connecting to the wireless on their mobile devices, they need to go to safari to authenticate each day before doing a walkthru
  • They definitely will have to authenticate before they do their walks

Policy on email on personal devices:
  • Official policy is still not in place and a phone can be confiscated if there were to be a question raised and school email is on there
  • Do not help people set up email on personal phones !

IPAD purchasing process and the following mobile devices now on the official Price list

  • Mini’s
  • Galaxy tablets
  • Nook e-reader will be on there (CDW is getting a contract with Barnes and Noble)
  • Kindle is on there too
  • All will connect to public only
  • Purchasing process is on the technology pricelist
  • They must ship to central office building—must be managed/deployed and set up with a subcontractor  (air watch)
  • Do not have a volume price plan with Apple yet
  • App store will not work yet until they figure out the contract details
  • There is a nice cart and cases for the ipads
  • Recommends you buy the otterbox case
  • Mclass app and dibels will not prompt for login,  have to go to safari first to get the authorization prompt, otherwise they will not work
  • Don’t send in ipads in for repair,  have to go through the apple care claim
  • Ipad mini’s have no cases with them

 Carla Miller:

  • Where is my laptop for new teachers?
  • Numbers are from HR
  • T400 models are The models we are getting

  • We are looking at ending the contract with Wake Forest?
  • All part of that recycle/refresh discussion
  • No funding source right now for additional classroom solution /science carts

 Surplus/Carla

  • SN4, SN5 machines--They want to know if you have working ones and want to get rid
  • Standard pickup in October:  officially equipment that does not work
  • What about old laptops, put it on the surplus list, anything lower than R40’s

  • Make sure you do check it back it
  • Deadline is Sept 30th
  • Person in your building should go with the recycle pickup person to the spot where equipment is stored

 Carla on Printers:

  • Had about 500 printers in stale state ove
  • Now about 83 devices not reporting into strategic
  • Could be IP address changed?
  • Let Carla know if IP address changed (printer moved?)
    • Carla needs to know if printers are moved
    • Put in a ticket (she needs as much information as possible)  needs to know printer name and IP address
  •  Threshold is 15% for ordering a new cartridge 

 ALS/ISS classrooms:

  • Want to see more computers in those rooms
  • Carla will do survey, and you will receive more
  • They will also look at wiring in next couple of weeks
  • They will make sure there are four in those rooms

Kevin--Please discourage teachers from calling the help desk, contact Tech Facilitators first.

  • Majority of calls has been email related
  • KACE tickets need to be our main source of problem management
  • Data Managers will be the first point of contact for Power School
    • They can call their team leader and get people unlocked and reset, can also call help desk or put in a ticket
    • Only assign to the service desk not to individuals
    • Only people in school allowed to assign tickets is Data Manager, and Tech Facilitator
    • 6 failed attempts on power school and the will be locked out

 Monitoring tickets that go into "limbo":  Joan does not monitor (except in the summer)

Printing: 2 goal approach:
 1)   get a printer on a machine by any means necessary
2)   enable TF’s to achieve this with a centralized action

a)   TRAC/WoMac (centralized)
b)   Manual IP based install

First thing that has to happen: TRAC
  • TRAC:  its under utilities
  • Type in school number to filter for your school
  • Assign printer:
  • Printer assigned does not mean it shows up
Type out : for example:  \\516DC01\M516P200003
  • Keep a spreadsheet with names of printers
  • All you have done is add them
  • Now, the workstation client has to run
    • Runs during login script
    • If user is already logged in
    • Go to:
      • Start
        • All program
        • Utilities
        • Connection refresh
Or...
  • Start run
  • Womac /ip (that’s a space after womac)
  • Womac /? (to see the list)
  • If slow loading the printer, it’s probably downloading the drivers for that printer
  • TRAC installing does not have to have the computer be turned on to add the printers
  • Can use this to map drives (for example the Y drive) Chris will get a sheet for that
  • They still have to be in the group to get access to Y drive
  • They will start deploying the client on Monday

Issues with Print servers

  • Eprint01 and 02 and others (five of them) serving all the printers in the district (~500)
  • Some print servers were messing up because of this.
  • They have decided to put printer services back to the local school servers
  • Imaging also has to stay at the local schools
    • Therefore, at this point have to replace the school servers since imaging and now printing has to stay on the local level
  • Some shuffling around will happen too (since not enough money to replace all servers)
  • "System Center" Could let you image multiple machines at a time (coming)

 Needs yearbook and staff yearbook rosters, CSV file with student number
To give them more space
  • Default level of space is 50MB,  new teachers get only 50 to begin with and have to MANUALLY change it to 300 MB quota

  • Why teachers are not in power school yet?--10 day head count is more important
    • We mark present not absent
    • Unless you have period attendance...those teachers are 
    • Sept 10th, teachers will get access
    • Principals and data managers will receive teacher passwords on Friday

May 2013 Tech Facilitator Meeting

  • June 4th, Lenny Shad coming to talk about BYOD from Houston, TX—talking to principals about his  nationally recognized program, works with cisco now
  • 21/22 schools will be rolling out BYOD in the fall.
    • Speaking to principals in AM
    • Tech Facilitators could come in with principals in AM say from 8:00 – 10:00
    • If we do it in the PM, could bring some teachers who signed up for BYOD and thus be a modified Tech Facilitator/BYOD meeting

Office 365: 
  • MS live edu now---Live @edu was educational version of hot mail
  • Now migrating to office 365
  • Will come with sky drive, web-apps, link (webx kinda app) etc.
  • DOT has a a July 1st deadline
    • "Cut over 1 and 2"
  • Cut over 1 --weekend of May 24th
  • Minimum password 8 characters will be established
  • Full email address for web mail log on
    • Sometime between the 13th and 24th  will be prompted for password change
    • Not asking students to change their passwords
  • Will force synchronization between our active directory and email
  • Can NOT use their same old password
  • Moving toward 90 day password change
  • Being pushed by finance for better, more secure passwords
  • Will send out more details on Friday and then we should notify teachers
  • Power School password will be a different password
    • Will use UID (will have to change every 90 days)
  • But, everything that uses AD will be the same password as usual 
  • Front end login screen will look very different
  • Will still lock out after three strikes
  • Kevin to send us a screen shot of this new log in screen
  • To start we will  be on "exchange 2010"
Cutover 2 –sometime July/August
  • Will then move into the 2013 of exchange (after being on 2010 for a certain period of time)
  • Then the login will look different again
  • and then your email will look different too
  • Skydrive and cloud storage—providing 25 GB of cloud storage

  • Doesn’t seem to be any limitations on file types
  • Also security issues only as secure as Microsoft guarantees
  • May give students a log on for access to the office 365 apps

  • Email storage size goes from 10 GB to 25 GB
  • Though 25 MB attachment is largest attachment you can have and probably still be the same
  • Not sure sky drive will be here or not until attorney’s approve?
Virus update:  Chris Corbin
  • Policy is in place to uninstall Trend micro from all machines
  • Chris showed us the process:
    • Endpoint uninstall--Core Protection Module will disappear at the bottom of the machine
    • They monitor as the process is running
    • Once it uninstalls,  policy is in place to install the new
    • There have been some errors due to licensing issues
  • Wave #3--Chris will email another group of 13/14 schools who will start today
  • Once you get the email, "scare teachers" to bring in their laptops (also because end of year issues)  especially windows 7 machines—only 120 days between time they activate against our windows licensing
  • Teachers do not need to do a gpupdate nor hard wire,  should work on wireless
  • As long as they are connected (confirm wireless is working by logging in)

Other end of year items:
  • Student home folders are purged as normal
  • Please spread the word to cleanup media (K drive)  and yearbook drives (Y)
  • Power settings in windows 7:
    • Governed by workstation policy
    • Computer should never go to sleep
    • It is set to turn off the display after 1 hr and 30 mins
    • Set to never put to sleep when plugged in
    • Is policy being applied?
    • If it doesn't say never under sleep then policy is not being applied
    • In the new update the images will change that default value so it will not have to rely on policy
    • Could be something in the bios in those machines too
    • Update the drivers for the video card?
    • Could be an issue of lenovo changing a chip between the time DOT makes the image and lenovo returns the new machine
    • Might be solved by going into display adapters and updating drivers
Group Policies:
  • Need for some house cleaning?
  • Drive mappings done through group policy
  • With Implementation of WOMAC, some modification will be needed to deal with so many old machines, might help with log-in times
  • There is a plan in place to remove drive mapping
  • What about shortcuts that are published?  They do slow down log in times
    • Some house cleaning—maybe remove some of the shortcuts?
    • Do an audit on your desktops, see if there are icons you don't need and let Chris know
  • So might remove shortcut policies?  Maybe just for high schools?
  • Send Chris an email about the shortcut policies
  • Chris will publish "testing short cut" that will go to desktops of generic student accounts
PRINTERS
  • An efficient global way of getting printers on the machines Is Chris’ goal
  • Until that happens, your way if it works is fine—using IPprinter install, etc.
  • With the new method,  printer file is on a shared location—Chris copies files from old way to the new way location
  • Phase 2 client gets pushed to machines via "utilities"—WOMAC (workstation management client)
  • Console:  TRAC (technology resource assignment console)
  • You can use filter to find a machine for example, 516I4 (to see just media center machines)
  • You will have to type in the print server name
  • Might be some changes to print servers names at the start of next year (but they are all saved on a shared location now) and they can script those changes out.
  • Can also map a drive such as the year book to that same machines
  • To remove a printer, right click and “remove”
  • Can right click on the printer path and copy that and change the end
  • Can also right click on the name of the computer for more options there
  • WOMAC Client has ability to do profile sweeps (only number profiles) not teachers
  • WOMAC will be published, and will be in utilities location
  • Updates when they are needed will apply to everyone, will be no need to reinstall the application (since it's not an installed program like the PMC)
  • Utility will be published sometime next week and you can start using it
  • Can’t do multiple print assignments at one time –but you can just copy and paste the paths
  • Chris will send us an administrative guide

Wireless with Kevin: 
  • Carla focusing on 22 BYOD schools first
  • How are we handling wireless in the fall?
    • Rename MLC to wsfcs_public
    • New web filter this summer that will manage wireless
    • School issued devices will still operate on managed
    • BYOD users (not on domain) will browse to the public network,  will prompt  for active directory and depending on whether part of the BYOD group will let them on the wireless or not let them on
  • Other part—allowing teachers and admins bringing their on device (have not decided yet!)
  • Students can currently get on managed now, but that will change in fall unless members of the BYOD group
  • One of the reasons Kevin has let "it go" on users getting on now is so we can possibly qualify for the 2GB of data flow
  • If we press the threshold with having many users on now, might help us qualify
  • Web filter DOES affect students who log on now
  • Light speed is the name of the new web filter
  • The instruction/training piece and focus must be strong to go into this BYOD, thus why there is all the required training for teachers going on the BYOD
Debbie Harmon:
  • Power Source:  email account is the user name
  • Debbie talked about the roles, etc for power source accounts, working through the individual issues
  • Being a current NCWISE users is the criteria for getting a power source account (based on their role too)
  • Teacher assistants have never been assigned ncwise accounts, for example.
  • Next year K-2 teachers will do the same thing they do this year with regard to entering grades
  • Troubleshoot certificate issues:  
    • teachers have to get a proficient score 
    • Also may try different browser or different browser on a different computer
    • Google Chrome is probably the recommended browser.  
    • One particular module has difficulty with Internet Explorer (older versions). 
Power Management Issues/Kevin:
  • With new leased laptops,  don’t  request new outlets unless a drop dead reason.
  • Can put in a ticket to Carla for Ethernet drops for new desktops—let Carla look at it—will be a summer project for her
  • Drops not active, add additional switches…every single school will be evaluated.
